The Office of the Chief of Staff (COS) directs Medical, Surgical, Primary/Community Care, Emergency Department, Research and Education, Mental Health and Domiciliary Operations and all clinical medical center operations. The incumbent of this position becomes a member of high level secretaries assigned to the MCD, AMCD P/NS, and AD offices, providing secretarial and administrative assistance as needed.
The duties of the position include, but are not limited to the following:
Serves as the initial point of contact for high-level visitors and callers to the office, establishing the nature and importance of the contact.
Serves as the principal administrative support for the COS and is responsible for carrying out and coordinating all the clerical and daily administrative support activities of the office.
Greets visitors and patients to the office referring any inquires or complaints to the appropriate offices when indicated.
Receive and screen telephone calls and visitors, using self initiative will determine the nature of the business and manage independently or will refer to the proper individual to expedite requests.
Contacts others to gather information needed by the executive and assemble all background data prior to presenting problems or paperwork to him/her.
Demonstrates courteous and caring behavior toward patients, visitors and employees at all times.
Responsible for establishing/maintaining the filing system for the office, ensuring the ability to retrieve in a timely manner, requested publications, correspondence, reports, and minutes needed.
Maintains the personal file of correspondence, investigations, information, effectiveness reports and similar subjects.
Assumes responsibility for follow-up on all published clinical service medical center memoranda.
Responsible for travel arrangements using Fed Traveler.
Sorts, files, tracks changes, edits, creates spreadsheets, graphs, and creates PowePoint documents as requested by the Exectuive.
Types various forms of correspondence which include replies to congressional inquires, White House correspondence, VA headquarters referrals, letters form patients, visitors and vendors.
Coordinates VANTS, VTEL, and other teleconference calls and type minutes of proceedings and correspondence for various Task Force and Board of Directors projects.
Performs other duties as assigned.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
